Say Yes To Being Seen® / Sarah Johnson Photography
Clear, straightforward information about booking a retreat, co-working session, workshop or event with me — including payments, cancellations, transfers and photography on the day.
Attendee cancellations are ordinarily non-refundable, subject to applicable legal rights and fair charges.
You can request to transfer your place or an agreed credit. All transfers require my prior agreement.
Cameras may be used at events. Let me know if you prefer not to appear in images or video.
Thank you for choosing to attend one of my events.
I put a huge amount of thought, planning, time and care into everything I organise. From the venue and catering to the workbooks, activities, resources and all those little finishing touches, my aim is to create an experience that is enjoyable, welcoming and genuinely valuable.
These terms explain how your booking works and what happens if circumstances change.
These terms apply to events organised by Sarah Johnson, trading as Sarah Johnson Photography and Say Yes To Being Seen®.
They cover:
The individual event description will confirm the date, time, venue, price, programme and what’s included. The information provided at the time of booking forms part of this agreement.
All bookings are subject to availability. Your place is confirmed when the required payment has been received and a booking confirmation has been issued.
For events advertised with provisional arrangements, such as a venue or date awaiting confirmation, this will be explained clearly before payment. If the event cannot proceed on the agreed basis, your rights under Section 8 apply.
Please ensure your contact information is correct, as important information will be sent to the email address provided.
The ticket price will be confirmed before booking. Depending on the event, payment options may include:
Any payment deadlines will be communicated before booking. Klarna is an independent payment provider and its terms and eligibility requirements apply.
All event places are sold on a non-refundable basis where an attendee chooses to cancel, except where a refund is required by law.
When someone books an event, their place is reserved and I make arrangements and financial commitments based on the number of attendees. These may include venue hire, catering, refreshments, suppliers, printed materials, gifts, preparation and administration.
Many of these costs are committed or paid well before the event takes place and may not be recoverable if somebody cancels. For these reasons, refunds will not ordinarily be offered where an attendee is unable to attend because of illness, changes to work or personal commitments, holidays or a change of mind.
However, any amount retained or charged following cancellation will be fair, proportionate and limited to the losses and costs reasonably attributable to the cancellation, taking account of steps that can reasonably be taken to reduce those losses. Where appropriate, this may include consideration of whether the place can be filled by another attendee.
Any applicable statutory cancellation or refund rights will always be honoured.
Some events may offer a deposit option to reserve a place. Deposits are deducted from the full ticket price and contribute towards the costs and commitments of organising an event.
Deposits are intended to be non-refundable where an attendee chooses to cancel, subject to applicable consumer law.
Any deposit retained following cancellation must be fair and proportionate to the losses reasonably incurred. If I cancel an event and cannot provide the agreed service, deposits will be refunded where required by law.
I understand that circumstances can change, sometimes unexpectedly. If you are unable to attend, you may ask to transfer your place to another suitable person.
Transfers must be agreed with me in writing before the event. Where approved, the replacement attendee must accept the booking terms and provide any necessary event information, including dietary or accessibility requirements.
If a transfer creates additional genuine costs, these will be explained and agreed beforehand. An approved transfer does not automatically create a right to a refund for the original purchaser.
Although event bookings are not ordinarily refundable, I understand that exceptional circumstances can arise.
In some circumstances, I may agree to transfer an existing booking, or an agreed value from that booking, towards another Say Yes To Being Seen® event, a future date or another suitable service provided by Sarah Johnson Photography.
This may be considered in situations involving significant illness, unexpected personal circumstances or other genuine difficulties. Requests will be considered individually and reasonably, taking account of:
Any transfer or credit arrangement must be agreed in writing. The amount credited, any additional payment required and any applicable time limit will be confirmed before the transfer is accepted.
A transfer to another event, date or service is not automatically guaranteed. Where offered, it is an alternative arrangement to help accommodate the attendee and does not remove or replace any refund or cancellation rights they may have under the law.
Occasionally, unforeseen circumstances may make it necessary to postpone, relocate or cancel an event. These could include illness, severe weather, venue problems, supplier difficulties or safety concerns.
I will give as much notice as reasonably possible. If I cancel an event and cannot provide the agreed service, attendees will receive an appropriate refund, including deposits where required.
If an event is materially rescheduled or changed, I will explain the available options, including any alternative date or refund required by law. Minor adjustments to the programme may be made where necessary, provided the essential nature of the event remains unchanged.
Please arrive at the time specified in your joining information. Unfortunately, I cannot guarantee that activities or content missed through late arrival can be repeated.
If you know you will be late or cannot attend, please contact me as soon as possible. Failure to attend does not automatically entitle an attendee to a refund, subject to applicable legal rights.
Photography and video may take place throughout all Say Yes To Being Seen® events.
As a professional photographer, I regularly capture the atmosphere, activities, connections and behind-the-scenes moments that make these experiences special. Photographs and video may be used on my websites, social media accounts, newsletters, promotional materials and future event marketing, subject to applicable privacy and data protection requirements.
If you would prefer not to appear in photographs or videos, please let me know and take reasonable practical steps to remain outside camera shots. This may involve stepping aside, moving away from an area being filmed or turning your face away. I will also make reasonable efforts to respect preferences that have been communicated to me.
Photography and filming may take place during activities, discussions, refreshments and informal parts of the day. Where photographs or videos identify individuals, their use will be subject to applicable data protection requirements, including an appropriate lawful basis and consideration of relevant privacy rights.
If you have concerns about an image or recording in which you appear, please contact me. Further information is provided in my Privacy Notice.
My events are designed to be welcoming, supportive and inclusive. Participants may choose to share personal experiences, business challenges or sensitive information.
Everyone is asked to respect the privacy and experiences of others and avoid sharing private information outside the event without permission. Group events cannot offer the same confidentiality as private coaching because other participants are present.
You are never required to share personal experiences or participate in an exercise that makes you uncomfortable. Discriminatory, abusive, harassing or unsafe behaviour will not be tolerated. Where necessary, an attendee may be asked to leave, with any refund entitlement determined in accordance with applicable law.
Events may include coaching, reflection, marketing guidance, business planning, visibility activities and practical learning. These services are intended to support confidence, professional development, learning and business decision-making.
Coaching and business guidance do not replace medical treatment, psychotherapy, legal advice or regulated financial advice. Attendees remain responsible for their own decisions and actions. No particular business, financial or personal outcome is guaranteed.
Some online workshops or group sessions may use Zoom or other video meeting software. Where appropriate, AI-assisted transcription may be offered to support the preparation of summaries, action points, training notes and follow-up resources.
Any proposed transcription or recording will be explained beforehand, including relevant privacy information and the available choices. The required lawful basis and safeguards will be established before processing begins, and separate consent will be requested where necessary.
Any workbooks, templates, worksheets, training materials, photographs or other resources supplied during an event remain the intellectual property of their respective owners.
Materials created by Sarah Johnson Photography or Say Yes To Being Seen® are intended for attendees’ personal or internal business use unless otherwise agreed. They must not be reproduced for resale, distributed commercially or used to provide competing training services without written permission.
I want all attendees to feel welcome and comfortable. Please advise me of any dietary requirements, allergies, accessibility needs or relevant arrangements as early as possible.
I will work with venues and attendees to explore reasonable adjustments where appropriate. Personal information, including health-related information, will be handled in accordance with applicable data protection requirements.
Attendees are asked to follow reasonable venue and safety instructions. Nothing in this agreement excludes liability for death or personal injury caused by negligence, fraud or any other liability that cannot lawfully be excluded.
